Users who want to share reports
Reporting authorities, roles, and record access controls restrict data visibility.
Reports can be informally shared by providing others with the report link or formally using the system to send notifications to specified users or teams.
Look for the Copy URL and Share icons throughout the system. Both sharing methods are available from the Report Management Screen or on the toolbar after the report has been opened.
From the Report Management screen: Share a report from the Report Management screen by finding the report, hovering over it, and clicking the Link icon to copy the report URL. Paste the URL into chats or emails. Share the report by checking the box next to one or more reports and clicking “Share” in the toolbar at the top of the screen. Select teams or users to share the report with.
From an open report: Share a report when the report is open on screen by clicking the Share icon next to the report name. Click “Copy Link” or “Email Link”. Using the email option will put the URL into an email with a single click. Using the copy option will paste the report URL into any chat or email. To share the report while it is open click the Share icon and select “Share Report”. Select teams or users to share the report with.
Searches shared by another user
Recipients of a shared report will receive an email letting them know that someone has shared a report with them. The report can also be found in the users Shared Reports folder. From the reports folder, the report can be saved as a bookmark or pinned to the home page.
Editing, removing, and un-sharing reports
Only report owners can edit, delete, or un-share a report with anyone at any time. If a user is not the owner, they can remove shared reports from their list without changing the viewing options for others. They can also save a copy of the report and make changes to the new report, and they now become the owner of a new report which can also be shared.
