Saving searches and creating reports in the Classic UI
Who is this article for?
Users who want to save reports in the Classic UI
Reporting authorities, roles, and record access controls restrict data visibility.
If you expect to rerun the same search in the future, you can save it by clicking [Save Search] above the criteria. After clicking [Save Search], you have the option to perform a "Save As" if you want to save a variation of an existing search that you have modified. The "Save As" option is also the only option available if you want to save changes to a search you have not created: for example, one published to your role by an administrator.
Saved searches encompass not only your criteria but your output type as well, including any modifications you have made to List, Grid, Trend or Report views. Once you have saved a search, it becomes available under the "Searches" folder of the Dashboard sidebar, from which you can drag it to a tile of your choice. You can also share your saved search with an individual or a team you belong to by choosing Options .. Share:

Recipients of shared searches will receive an email notifying them when someone has shared a search with them. When they log on, the shared search will appear in a (you guessed it) Shared Searches folder on the Dashboard, giving them the ability to drag it onto one of their own tiles:

If they attempt to make a change to the search and save it, they will be presented with a [Save As] button to create a copy, but they will not be able to modify the original saved search. Similarly, they can't delete a search that's been shared with them; they must ask the person who shared it with them to unshared it.
Saving searches is the single most effective thing you can do to improve the speed of accessing data you and your teams care about, in the display that makes the most sense to you.
Users can share Saved Searches and Saved Reports in three separate ways:
- Using the Share menu item within the Options Button that is visible when viewing a saved search or report. See Searching, Reporting, and Notifications to learn how to create and save a search or report. For users that the report is shared with it will be in their Shared Searches folder.
- By dragging it from your Saved Searches folder onto a Personal Shared Tile.
- By having an admin place it on an Admin Shared Tile.
Report Size Limitation
To ensure reliable performance for all our customers, search results that feed into a report may be limited according to the memory footprint they require. If you receive a message saying the report result set is too large, choose additional search criteria to further refine your results.
