Sharing dashboards
Who is this article for?
Users and Admins who want to share dashboards
Reporting authorities, roles, and record access controls restrict data visibility.
When a custom dashboard is developed to address a particular requirement and is designed to provide tailored visualizations that effectively summarize relevant data, it allows users and teams to collaborate more efficiently by sharing these dashboards with one another. This sharing capability enhances communication and ensures that everyone has access to the same insightful information, fostering a more coordinated and informed approach to decision-making within the organization.
User
Users can share a dashboard by selecting richtext or URL.
Administrative
Area Administrators can also share a dashboard as a default dashboards using the Share icon on the Dashboard menu. This share icon is only visible to users with the Area Administrator role.
The dashboard can be assigned to users by roles, a team, or to individual users.
It is important to note that:
- Users can override the admin's wishes and choose their own home dashboard.
- An Administrator will not be able to force a new home dashboard on the user if the user has selected a dashboard other than the default home dashboard as their home dashboard.
- The user will, however, see the newly shared dashboard and can make it their new default home dashboard, if desired.
Users will be notified that they have a shared dashboard by a red dot being visible next to the dashboard icon.
If a user has multiple roles, the user will be notified and asked to pick a dashboard as their prefered home dashboard.
When a shared dashboard is deleted by the original sharer, the user will see the notification icon on the shared dashboard and will see an information icon next to the deleted dashboard warning them the dashboard will be removed within 30 days.
Users can duplicate the dashboard, making their own copy, if they wish to keep it.
