Overview
What you can do with the mobile application
Use the mobile application to:
- Create observations.
- Complete rating-based inspections and assessments.
- Execute and document procedures, either digitally or by annotating PDF documents.
- Complete and document collections of work instructions and documents as work packages.
When data is collected through a mobile application, that information is directed to a central location for effective reporting and workflow management.
IP access restrictions
Mobile applications cannot function independently from the desktop environment. The Ideagen EHSQ Enterprise mobile app supports all three major operating systems (iOS, Android, and Windows 10.) For more information visit Managing mobile connections and Recommended client configuration.
Mobile application features
- Mobile Documents: Data-capture forms and computer-based procedures that support embedded business rules, calculations, and validations.
- Mobile Work Packages: Collections of procedures and supporting documents used to execute a package of work, including PDF annotation capabilities.
- Mobile Observations: A streamlined checklist to capture attribute-based observations from a mobile device.
Alternate names
Some mobile application features may be referred to by alternate names in existing documentation or customer environments:
- Mobile Documents called Mobile Forms and Computer Based Procedures.
- Mobile Work Packages are often referred to as eWP (electronic Work Package).
The mobile application also includes:
- Offline operation when a network connection is unavailable.
- Picture capture and attachment support.
- Activity streams that provide visibility into system activity.
- Offline caching and indexing of reference data.
- Check-in and check-out controls for document management.
Check-in and check-out
Check-in and check-out helps prevent editing conflicts when multiple users work with the same Mobile Document or Mobile Work Package. When a user checks out an item, other users cannot edit it from the desktop application, and the checked-out user can continue working while online or offline. When the user checks the item back in, access is returned to other users and mobile editing is disabled until it is checked out again.
Mobile observation vs. forms
Use Mobile Observations when:
- Data can be collected using a simple checklist.
- Information needs to be captured quickly.
- Task assignment is not required.
- Data collection supports the Initiate workflow step only.
Use Mobile Forms when:
- Tasks must be assigned from a mobile device.
- Data capture requires more complex business logic.
- Fields need to become required based on conditions.
- Documents must be embedded in the form or associated work package.
Best practice
In most cases, mobile forms are recommended because they support more complex workflows, task assignment, and advanced data collection requirements.
Supported attachments and media
The mobile application supports images, documents, and videos.
Users can:
- Attach files associated with mobile form assignments.
- Capture images or videos using the mobile device camera.
- Upload files from the mobile device photo library or file system.
Video limitations
- Video files are limited to 10 MB.
- If a captured video exceeds 10 MB, users can delete it or save it to the mobile device library.
- Video is supported on iOS and Android devices.
- Video compatibility may vary between device platforms and file formats.
- The mobile application captures low-resolution video to keep file sizes manageable.
Syncing data
Users can synchronize mobile data by:
- Performing a manual sync from the mobile application menu.
- Allowing automatic synchronization when connected to Wi-Fi.
Users can view pending synchronization activity from: History > Pending
Offline mode
Offline mode allows users to continue working when a network connection is unavailable. Users can:
- Access previously synchronized tasks, forms, and data.
- Complete work and capture information.
- Save information locally on the mobile device.
- Synchronize completed work when connectivity is restored.
Connection Notifications
Connection notifications inform users when offline activity is waiting to be synchronized. Notifications appear only when:
- The mobile device is offline.
- Observations, mobile forms, or mobile work packages are waiting to be synchronized.
Notifications begin eight hours after the first queued event and repeat every eight hours until synchronization is complete. Push notifications are not supported.
Barcode support
All barcode formats are supported on all mobile devises, for example the Google specific format.
