Using a dashboard in the Classic UI

Users who want to understand dashboard tiles in the Classic UI
Reporting authorities, roles, and record access controls restrict data visibility.
The Classic UI dashboard serves as the primary interface from which users can access various applications or conduct searches. It is structured into three distinct sections: the Search/Menu Bar, the Side Pane, and the Main Region.
Search/Menu Bar
The Search/Menu Bar consists of four sections:
- Module Selector "- Search All -" - Your search can encompass all modules you have access to, individual modules, or multiple modules.
- Search Term Box - Type in your search terms here. See the Performing a Search in the Classic UI help page for more information on searching.

Help Icon (?)
- Help - Context-sensitive access to help documentation. If available for your organization, clicking this button will open help documentation specific to the application you are working in.
- Guided Tour - If available for your organization, clicking this button will open a guided tour that provides on-screen instructions explaining what must be completed for the current task.
- User Guide - Opens the main page of your organization's on-line help page if the organization chose to deploy one.
- Tutorials - A list of short videos that show how to perform various tasks on the platform. These are generic and not specific to your organization.
- LinkedIn Community - Ideagen's LinkedIn Community page. If you are not a member, simply request to join. The community page contains recordings and slides of Ideagen's monthly user webinars, announcements, and is also a wonderful place to collaborate with other Ideagen users.

Function Menu
- Requests - Displays a list of pending and completed print requests.
- Feedback - A mechanism for users to submit feedback directly to Ideagen.
- My Profile - View your profile. See the Updating your profile - Classic UI page for additional help.
- Messages - View important messages From Ideagen or your organization. Pop-up messages that are displayed the first time you log in can be viewed here.
- Sign Off - End your session and log off.
- YourWay version - Conveys the YourWay that is running in your area. Displays the release notes for this version.
Side Pane
In the Side Pane you will find a few buttons and common features organized by folder. Blue-text folders are user-facing and green-text folders are for administrative and module development functions. Most users will not see any green-text folders.
- [New] button - This dropdown list lets you create new objects for the module(s) you're allowed to.
- [Tile] button - Lets you create a new custom tile. Additional help on Tiles is available below.
- [Tile Group] button - Lets you create a new tile group. Additional help on Tile Groups is available below.
- Trashcan - Drag shortcuts and other dashboard items you've created here to delete them.
- Recent - The last 10 objects you viewed.
- Searches - Your saved searches.
- Shared Searches - Your copy of searches that others have shared with you.
- Assignments - Contains links to display workflow tasks assigned to you.
- Bookmarks - Contains the objects you've bookmarked (starred).
- Tile Groups - A list of Tile Groups you have created. Tile Groups can be dragged on to tile. If you want to share a Tile Group, it must be dragged to a tile and then that tile must be shared.
- Items - Provides links to all items you have access to, whether they're assigned to you or not.
- Reports & Charts - Provides access to the custom reports & charts that have been published to your role.
You can reorder folders by dragging and dropping them. You can also drag and drop links to tiles in the Main Region for easier access. Many users set up their tiles (or their administrators set up tiles for them) and then collapse the side pane by clicking the [<<] button so they will have more horizontal real estate available.
Creating a copy
If you drag a saved search to a tile this creates a second copy of the saved search. Once a copy exists on a tile you can delete the original from the saved search folder.
Main Region
As you open objects, searches, and other screens, they appear in the Main Region as additional tabs. When you're done with individual tabs you can close them one by one by clicking the [x], as you would a normal browser tab.
Close many tabs at one time
You can close many tabs at a time by right-clicking on a tab and choosingClose Other TabsorClose All Tabs.
How to maximize your dashboard working area
Tiles
In the Main Region is where tiles appear. Administrators have the option to set up tiles with useful links and publish them to specific roles or teams. These appear with a lock icon in the upper left corner. You cannot move or edit locked tiles. You may hide these admin tiles though. To make hidden tiles reappear refer to the Updating your profile - Classic UI page.
Creating, customizing, and sharing tiles
How to specify custom tile colors
Users can create two types of tiles - Regular and Live.
Regular Tiles
You create a new tile by clicking the [Tile] button. The new tile will appear in the first available space on your dashboard. If you have a tile group open, then the new tile will be created in the tile group. You can now add a title by clicking in the Click to Edit section.
Add some fun to your tiles by using emojis
You can include emojis in your title titles by copying them from a site like emojicopy and then pasting them into the title.
- For tiles that you have created, or that are published to teams you belong to, you have many customization options. By clicking on the menu icon in the upper right corner, you can:
- Adjust the color.
- Adjust the size of the tile itself and/or the text it contains.
- Delete it permanently or just hide it from your desktop (you can do this with locked tiles too if you don't care to see tiles that have been published to your role).
- Share the tile with an individual or a team you belong to; note that when you do this, the person(s) you shared it with can make changes to the tile (See Managing shared tiles in the Classic UI to learn more about sharing tiles).
- Move it to another location by hovering over the double bar at the top of the tile and dragging it. You can also drag tiles to open tile groups by dragging them to the tile group tab.
Live Tiles
A Live Tile is a useful way of having your search results displayed directly on your dashboard. You create a live tile by dragging a saved search to an empty part of your Dashboard:
When you do that, we automatically create a tile, name it after your saved search, and set its contents to the actual results of the search:
If your saved search uses the List display option, the tile list will contain the object titles. If your saved search uses the Grid display option, then your tile list will contain the left-most columns of the search.
Include date fields in your Live Tiles
By saving searches in Grid display, you can choose to have date, identifier, or other fields visible within the list. Column sorting in Grid display is also respected in live tiles.
Creating or updating a tile
Live tiles are refreshed when you log in or open the tile group that contains the live tile. To manually refresh the contents of the live tile simply click the refresh (recycle) icon in the top left corner of the tile. To open the saved search, simply click theShowing m of n itemslink at the bottom right. Administrators cannot publish live tiles.
Tile Groups
Tile Groups are a powerful tool to help organize one's dashboard or create and share groups of tiles. A tile group acts as an additional Home tab, but one that doesn't contain any admin (locked) tiles that you may find bothersome.
Tile groups are created by clicking the [Tile Group] button. Once a name has been given it will appear in the Tile Group folder in the side pane. A user may open any tile group from within this folder as it is not necessary to drag it to a tile. If, however, you want to share the tile group it must be placed on a shared tile. Sharing group tiles
When a tile group is shared the contents within the tile group are not automatically shared as well. Each tile within a shared tile group needs to be shared independently.
A Tile Group can be renamed by right clicking the name within the tab.
Tile groups are a wonderful way to create dashboards that can contain many tiles.
