Creating a table report

Overview
Legacy BI reports are generated through a third-party tool called JasperSoft. This tool presents an opportunity to create reports that contain child-level information.
Searches return new data each time the search is performed and instantly adds relevant information to existing search result displays. The platform's search can be displayed as a Table report in order to organize, analyze, and share information across your organization.
Create a table report
- Configure search filters to define the report results
- Select a Table report type
- Open the Data panel along the left-side navigation bar
- Select from the list of Displayed Columns to customize your report.
- Select from the list of Grouped By to group report results
- Click Save to add the report to My Reports
Once you have saved your search as a Table report you can:
- Export the report to Microsoft Excel for further analysis. Exported reports use a flattened format for compatibility
- Add the report to a dashboard
- Share the report with other users through notifications
Manage a table report
Display columns
Use the Displayed Columns pane to choose which fields appear in the table.
Select or clear the checkboxes next to each field to add or remove columns. Some fields are displayed by default, but you can remove them and add other available fields.
Include object links in Excel exports
Excel exports can include links directly to objects when the Identifier field is included in the report for easy access to the objects. The object link is subject to access requirements such as user roles, reporting authorities, and record access restrictions.
Some applications may use View/Edit instead of Identifier as the field header that displays the object link.
Change column order
Use the up and down screen arrows in the Displayed Columns section to change the column order.
The order of fields in Displayed Columns (top to bottom) determines the order in which columns appear in the table (left to right).
Newly added columns appear on the right side of the table. Use the arrows to reposition them.
Sort table data
By default, table data is sorted by the last updated date and time.
To sort by another field:
- Move the pointer over the column heading.
- Click the Sort icon once to sort in ascending order.
- Click the icon again to sort in descending order.
Apply multi-column sorting
To sort by multiple columns:
- Select the first column to sort.
- Click once for ascending order.
- Click twice for descending order.
- Hold Ctrl while selecting additional columns.
- Continue selecting columns in the order they should be applied.
The report applies sorting in the order that the columns are selected.
Group table settings
Grouping organizes search data by similar values, such as priority, date, or action owner.
To group data, select one or more fields in the Grouped By display settings pane.
The table report creates a group header for each unique value in the selected field. By default, groups are sorted in ascending order.
To change the sort order, click the ascending or descending sort icon next to the field name.
Multi-level grouping
Select multiple fields in the Grouped By selector to create nested groups.
The order of fields in the Grouped By selector determines the grouping hierarchy.
For example, if Field A appears above Field B, the table groups data by Field A first and Field B second.
Each grouping level is sorted in ascending order by default. To change the sort order, click the ascending or descending icon next to the field name.
Date Aggregations
When a date field is added to the Grouped By selector, the table displays individual date values by default.
You can group dates by a broader time period such as:
- Week
- Month
- Quarter
- Fiscal quarter
- Year
- Fiscal year
To change the date aggregation:
- Hover over the field name.
- Click the three-dot menu.
- Select the required date grouping option.
Set the fiscal year
A system administrator configures the fiscal year end month in Area Preferences.
Numeric Aggregations
When a numeric field is added to Displayed Columns, the table displays the Sum aggregation for each group by default. You can apply aggregations to multiple numeric fields within the same group.
To change the aggregation method:
- Hover over the field name.
- Click the three-dot menu.
- Select an aggregation method.
Available aggregation methods include:
- None
- Sum
- Count
- Average
- Minimum
- Maximum
- Mean
- Standard deviation
- Sum of squares
Child-level reporting
Child-level reporting allows you to include related child objects, such as actions, tasks, or related objects, along with their parent objects.
Legacy BI Reporting
Child data is displayed in the Legacy BI reporting tool and supports table and chart reports, allowing related information to be viewed and analyzed together. See Creating a legacy table BI report.
Newly released child-level search layouts
Child-level reporting availability
With release 2.64.4, child data reporting will be made available to new customers as well as existing customers who have completed the search index conversion and are utilizing the redesigned user interface.
As part of this change, child data can be added to both new and existing reports.

Nested
The Nested layout:
- Displays parent objects as rows.
- Displays child objects in a sub-table below each parent object.
- Preserves the relationship between parent and child data.
- Is useful when reviewing related objects in context.
Flattened
The Flattened layout:
- Displays each child object as a separate row.
- Repeats parent object data for each child object.
- Is useful for exporting, filtering, and analysis in external tools such as Microsoft Excel.
Note: PDF export for child reports is not available at this time but scheduled for a future release.
